Dear Professor,
I am writing to seek approval to research an equipment related difficulty on the factory floor of my company Renée PK LTD. Finding out a solution to the problem will enhance the productivity and employee retention rate for the future. The proposal would not only outline the current productivity issues in the company but also provide a solution to the existing problem. The final report will be submitted to the other partners and the general manager of the company to henceforth take necessary actions collectively leading to success with this endeavor.
BACKGROUND
Renée PK LTD is a woman apparel company located in Karachi, Pakistan with its head office in the UAE. The company produces ethnic clothing for women of South Asian and Middle Eastern descent all around the world, with major export to countries like UK, USA and Australia. There is a factory situated on 12000 Sq. ft. of land in the heart of Korangi Industrial Area in Karachi. There are currently 3000 employed personnel working of which more than seventy percent constitutes of women. Renée was built on the vision to empower women from lower socio-economic backgrounds, so they can be trained and taught necessary skills to support their households and fight poverty.
STATEMENT OF THE PROBLEM
The problem we are facing is in the production side of the business where we have to extensively train our employees because of the introduction of new and improved machinery in our facility. The factory’s stitching department is currently facing delays because majority of our employees are trained to use older sewing machines. But now with our operations increasing and new staff coming in the machines that are bought are computerized and require extensive training. Our challenge currently is to train both old and new employees that would require a strategy in order to increase efficiency while keeping the employees motivated.
WHY IT MATTERS
As production is a very critical component of the overall business activity, training the employees while not stopping the production is the goal of any factory, because the units never sleep, it just incurs losses if not used efficiently. So, having the employees to be the most productive and also keeping them motivated would benefit the company. It would also help in running the other departments smoothly, which would help control real income means needed to meet the obligations to customers, suppliers, workers and eventually government.
RESEARCH METHODS
My research will consist of guiding and assisting current employees who require training to operate new machinery. The trainings would be 7-10 days long depending on how each of them catches up. A little bit about the equipment is that we are installing JUKI sewing machines currently which would require the employees to be trained to have basic knowledge and understanding of computers and trouble shooting. Initially we were using Singer company’s manual sewing machines which were more time consuming to use as well as the standards of finishes were not as high as our work now requires. By conducting open communication sessions with our managers and head tailors from the sewing department I believe we would be able to help facilitate them in the best possible way in order for them to produce the desired results.

QUALIFICATION
I am the owner of the company and being the owner and starting your brand comes with a great responsibility sometimes I am the intern and the trainee while the other times I am the boss taking the sole decisions for the best of the company. My role has evolved a lot since I have had partners come in the company. In a way it makes sense to have someone to take the decisions for the betterment of the company with you. My education background is in business and entrepreneurship, but to gain extensive knowledge in the field of accounting I did my internship for Rubin Brown LLP as their tax associate which helped me to understand the financial and accounting aspects of business. I also did business development for a company Johnson stone countertop which prepared me to sell my own products, which I had to do initially not only on social media platforms but also convince clients to buy my products. My day job even now is as a business development executive for Siemens (Wind turbines and electrical grids department) which helps me not only be the boss but also look at things with the perspective of an employee.
CONCLUSION
With this proposal I conclude that in order to increase productivity in the workplace our employee efficiency will improve. Our goal is to not only resolve the problem of delayed productivity but also keep the employees motivated in order for the it to go upwards. We hope to make the end result more cost and time efficient. The detailed schedule will help to achieve the desired result in a very organized and effective way.
I am formally asking for your approval to go ahead with my proposal and look forward to hearing from you. If you have any questions feel free to reach out at
